This is Scan123 Corporation’s (“Scan123”) privacy policy. This document explains Scan123's policies for the collection, use and disclosure of personal information. Scan123 abides by applicable privacy legislation. Scan123 provides document management, scanning and storage services.

The Information we collect

Scan123 collects information by various methods, primarily as actively provided by its customers. Scan123 customers use Scan123 services to store information about their customers. Scan123 may see personal information in the documents stored by Scan123 customers. The types of personal information we collect include contact and payment information. We may record calls to or from our customer service representatives for purposes of accuracy, performance reviews and training. Scan123 collects only the IP address, but not the e-mail address, of visitors to our Web page, the e-mail addresses of those who communicate with us via e-mail, aggregate information on what web pages people access or visit, user-specific information on what pages people access or visit. We use cookies to store visitor preferences.

How we use this information

This information is used to provide our services. Scan123 does not access, share, or use information Scan123 customers store in our services, except to the extent necessary for and for the time necessary to provide our services. For example, Scan123 does not share personal information with any third party advertisers or data brokers or amongst Scan123 customers. Scan123 may use meta data, use metrics, aggregate, or anonymous information which will not be linked to identified Scan123 customers or identified individuals for various other uses for itself, and which Scan123 may share with other Scan123 customers or third parties. The information stored in our services, and processing, is done using a third party cloud provider located in the United States.

Who we share this information with

Scan123 does not share personal information with any third parties except as disclosed in this policy. Scan123 may provide personal information to its consultants, subcontractors and professional advisers (which shall be bound by privacy obligations) to assist Scan123’s uses disclosed herein.

Security

Personal information is protected by security measures appropriate to the nature of the information. We classify all of our customer uploaded information at the highest level of security to comply with HIPAA, GLBA, and SOC 2. Our SOC 2 report is available upon request, and upon signing an NDA.

Accessing information

Individuals may review their personal information contained in Scan123 files (other than that stored on Scan123 services by Scan123 customers, for which the individual must contact our customer) by contacting the Scan123 privacy officer. For personal information under Scan123 control (not that stored on Scan123 services by Scan123 customers) if an individual believes that any of their personal information is inaccurate, we will make appropriate corrections.

General

Scan123 may amend this policy from time to time by posting an updated version on our website. If such amendments affect how Scan123 uses or discloses personal information already held by Scan123 in a material way, Scan123 will obtain consent. This policy was last updated on February 22nd 2021. Notwithstanding the general terms of this policy, the collection, use, and disclosure of personal information may be made outside of the terms herein to the extent provided for in any applicable privacy or other legislation in effect from time to time, or pursuant to court orders.
